Quick Win patternHealthcare · Ops

Appointment no-show reducer.

An automated reminder sequence with easy rebooking, tuned per procedure type - built for a dental practice losing chair time to late cancellations. The pattern travels to any appointment-based business where an empty slot is lost revenue.

The problem

A no-show at 2pm is chair time nobody gets paid for.

A generic "see you tomorrow" text doesn't do much for a two-hour implant procedure booked three weeks out. Practices with a real reminder gap tend to send the same reminder at the same interval regardless of what's actually booked, and by the time a cancellation is noticed, there's no time left to fill the slot.

The practices that come to us for this aren't disorganised. They just don't have someone whose job is to call every patient at exactly the right moment, every day, forever.

What we built

Five pieces, wired into what you already use.

Reminders timed per procedure type

A routine cleaning gets a different reminder cadence to a two-hour procedure - longer lead time and an extra touchpoint for the appointments that are costliest to lose.

One-tap rebooking

Every reminder includes a link to confirm, reschedule or cancel in one tap - no phone tag with reception during opening hours.

Automatic waitlist fill

When a slot opens up, the next eligible patient on the waitlist gets offered it automatically, instead of the slot sitting empty until someone notices.

No-show pattern tracking

Patients with a history of late cancellations get an extra reminder touchpoint automatically - no manual flagging required from the front desk.

Weekly show-rate report

A plain-English summary of show rate, rebooked slots and estimated chair time recovered - so the impact is visible, not assumed.

Typical outcome

Ranges, not a single client's number.

This pattern is live with one dental client who isn't public yet. Until we can share their real figures with a case study, here's the honest range we typically see.

No-show rate
Meaningful drop
Varies by practice size and how manual the existing reminder process was.
Chair time recovered
2-6 hrs/wk
From waitlist auto-fill catching slots that would otherwise sit empty.
Front desk time saved
Fewer calls
Less manual reminder-calling and rebooking chasing per week.

The honest part

Why there's no client name here yet.

This is genuinely live at one dental client. We haven't asked them to go public yet, so we're not attaching their numbers to this page - that's the same anonymization discipline we hold our named case studies to, just applied a step earlier.

If a client says yes, this entry gets upgraded with real figures and a link through to their case study, the way NYC Dental Group and our laptop retailer client did. Until then, you're getting the honest range, not a number we made up to look impressive.
